How to Screen Bookkeeper Resumes

Bookkeeper resumes lean on "managed the books" and "handled all accounting," phrases that cover everything from data entry to running a small company's entire finance function. The screen that matters pins down the transactional scope: how many entities, what volume, which subledgers they truly owned, and whether the work was full-cycle or fragments of it.

What to screen for

Core qualifications

  • Full-cycle ownership: AR, AP, bank and credit-card reconciliations, and the monthly book close
  • Software depth in the platform you run (QuickBooks Online/Desktop, Xero, Sage, Wave)
  • Transaction volume and entity count that match your business size
  • Accuracy and timeliness signals — monthly closes done on a schedule, clean reconciliations
  • Adjacent duties where relevant: payroll entry, sales tax filings, 1099 prep, light reporting

Red flags

What to watch for in bookkeeper resumes

  • "Managed all accounting" with no entity count, volume, or list of subledgers owned
  • Reconciliations never mentioned for a role that lives in them
  • A single software named with no version or modules, or a wall of platforms with no depth
  • Accountant- or controller-level claims (GAAP, consolidations) on a transactional resume
  • Gaps around month- and year-ends, when the bookkeeping workload peaks

Worth verifying

Claims that are easy to write, hard to back up

  • "Managed the books" — for how many entities, and at what monthly transaction volume?
  • "Handled reconciliations" — bank, credit card, and balance sheet, or just the checkbook?
  • "Expert in QuickBooks" — Online or Desktop, and which modules did they run?
  • "Did the month-end close" — full close to financials, or just data entry someone else closed?

The fast way

Screen bookkeepers faster

For bookkeeping reqs, rank on full-cycle ownership and software fit, not on how broadly the resume claims to "do accounting." The strongest bookkeeper resume names the entities, the volume, and the subledgers genuinely owned; the weak one says "managed all the books" and leaves you guessing whether that meant one company or twenty invoices a month. Confirm the close and reconciliations are theirs before anything else.

Resume Autopsy ranks your whole bookkeeper applicant pool against the job description in minutes — a 0–100 fit score and a MATCH / PARTIAL / MISS checklist with evidence quotes for every candidate, so you know who to interview first and can defend the call.
